Contour Software is seeking an experienced and proactive Admin Officer to join our Lahore team. This role is essential in fostering an employee-focused, high-performance culture that values excellence, integrity, and professionalism. The Admin Officer will play a key role in ensuring seamless office operations across all company locations, providing crucial administrative, financial, and procurement support to maintain an organized, efficient, and welcoming work environment. The role also involves supporting employee engagement and contributing to business continuity efforts.
Key Responsibilities:
- Oversee daily office operations, including supply coordination, visitor support, and general administrative duties. Ensure the office environment is organized and fully functional for day-to-day activities.
- Represent the office professionally and courteously via phone, email, and mail, fostering a positive image of the company.
- Track office supplies, anticipate needs, place orders, and expedite deliveries to maintain an uninterrupted supply.
- Manage cash flow and petty cash, process daily transactions, receipts, and payments, and ensure accurate financial records, including invoicing. Support monthly and annual financial closing procedures.
- Track and update expenses, assist with budgeting, and manage expense reports for financial accuracy.
- Ensure timely maintenance of office facilities, coordinate necessary repairs, and handle vendor relationships to maintain operational efficiency.
- Manage vendor relationships, update records, process invoices, ensure timely payments, and assist with contract negotiations and service coordination.
- Facilitate the planning and execution of in-house and off-site events to promote employee engagement.
- Monitor and control office access, ensuring secure and authorized entry to premises.
Qualifications:
- Bachelor's degree or equivalent experience.
- Minimum 3 years of office administration experience, preferably in an IT company with 500+ staff.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
- Strong verbal and written communication skills in English.
- Basic understanding of financial processes, including cash handling, petty cash management, and expense tracking.
